Project delivery
Car parking shade handover: reviewing the project document pack
· Shades Systems
Before accepting a car parking shade installation, agree a document pack that the facilities team can use after the contractor leaves. Give each area a clear identifier and connect its drawings, material records, care instructions and outstanding issues. Review completeness against the actual contract and project requirements.

Build an area-linked index
Organise the pack by parking area or canopy group. Use matching identifiers on the site plan, asset register and photographs. Record each document's title, number, revision, review date and responsible party. If different canopy systems are installed, identify where each product record applies rather than combining them into an unlabelled materials folder.
Identify the as-built drawings
Ask the responsible party which drawings represent the installed work and which approved changes belong with them. Cross-reference area identifiers and detail references against the project record. If a change is undocumented, give it an owner and follow-up date in the outstanding-items register. Site photographs alone are not a basis for editing an engineering drawing.
Connect product records to locations
For each covering and finish, record the product name and grade or reference available in the supply documents, then identify the areas where it was used. Retain the relevant approvals required by the contract. A general brand brochure does not establish the identity of the membrane or coating actually installed.
Separate warranty terms from care instructions
Retain the written warranty, the party receiving notifications and its stated start date. Attach product- and finish-specific care instructions and responsibility for safe maintenance access. Do not transfer a warranty duration, cleaning chemical or maintenance interval from another project.
| Record | Required connection |
|---|---|
| As-built drawing | Area identifier and revision |
| Covering or finish | Product reference and installed areas |
| Written warranty | Responsible party and stated start date |
| Outstanding issue | Location, owner and closure evidence |
Make closure traceable
Use an issues register with location, description, photograph, action owner and closure evidence. Separate a missing document from a physical item requiring review. Keep the handover record together with the agreed outstanding list, rather than silently removing unresolved items from the final pack.
Test the pack with its future user
Choose one canopy and ask the receiving team to find its drawing, covering reference, care instructions and support contact. If that is difficult, improve the index before closing the handover. WBDG discusses organising project documents and assigning review and acceptance responsibilities; it is a general documentation reference here, not a Saudi regulatory requirement.
Specify deliverables before procurement
For a new parking shade project, include the required handover deliverables and reviewer in the enquiry scope. Define file formats, area identifiers and who retains the approved master. This lets the supplier identify documentation work and exclusions before the contract is agreed.

Frequently asked questions
Are photographs enough for a canopy handover pack?
Photographs help identify locations; they do not replace drawings, product records and instructions required by the contract.
Who checks that the handover pack is complete?
The project identifies the reviewer, acceptance authority and master-record custodian, with input from the operating team that will use it.
